On the Ledger page, click Trial balance. Pick the date you want. Every account's balance on that day appears, with debits and credits. This message tells you the books balance, and agree with your reports. Each balance shows on its normal side. Debits increase assets and expenses, and credits increase income, liabilities, and equity. At the bottom, total debits equal total credits. Click any account to see the detail behind it. The general ledger shows every debit and credit, with a running balance. Change the From and To dates for any period. Then download a spreadsheet, or save a PDF to send to your CPA.

The trial balance lists every account's balance on one date, with total debits and total credits. The general ledger shows every debit and credit to one account, with a running balance. Your CPA will often ask for both at year end.

Steps

  1. Go to Ledger and click the Trial balance tab.
  2. Pick the As of date. If you have funds, choose a Fund to see just that fund, or leave All funds.
  3. Check the tie-out message. "Ties out" means debits equal credits, and the ledger matches the balance sheet, profit and loss, and every account's balance.
  4. Click an account name to open its general ledger.
  5. On the General ledger tab, choose the Account, and set From and To dates. If you have funds, pick a Fund.
  6. Read the activity. It starts with the Opening balance, lists each debit and credit with a running Balance, and ends with Totals and closing balance. Click an entry number to open that journal entry.
  7. Share it. Click Download CSV for a spreadsheet, or Print or save PDF.

Good to know

  • This is a Plus plan feature. On Starter or Standard, the page shows what it does and how to upgrade. Free trials and charter subscribers have it. See Your free trial, plans and usage.
  • The trial balance is cash basis, plus any journal entries.
  • Income and expenses from earlier years are rolled into Retained earnings, as on the balance sheet. In the general ledger, income and expense accounts start each year at zero.
  • Balances show on the account's normal side: debits increase assets and expenses; credits increase liabilities, equity and income.
  • Reversed entries are marked "(reversed)" in the general ledger.
  • If a check doesn't tie out, the usual cause is a transaction dated before its account's start date on the Accounts page. If that isn't it, send the message to info@agilegnosis.com.
  • The general ledger opens for January 1 of this year through today; change the dates for any other period.
