Under each account on the Reconcile page, you'll see every statement you've reconciled. Click View report to open the reconciliation report. Per the statement walks from the beginning balance, through everything that cleared, to the statement's ending balance. Outstanding items lists anything in your books that hadn't reached the bank yet. Click Print to print it, or save a PDF for your records. Found a mistake after finishing? Click Back to Reconcile. An owner can click Undo on the most recent reconciliation, and confirm. It reopens in progress, with your checkmarks just as you left them. Here, the Starbucks charge on the statement was August's, not September's. Check the right one, and uncheck the other. The difference is back to Balanced, so click Finish. The corrected report opens.
Every finished reconciliation has a report that shows what cleared the bank and what was still on its way. Keep it with the statement. If you find a mistake after finishing, an owner can reopen the most recent reconciliation to fix it.
Steps
- Go to Reconcile. Each account lists its past reconciliations by Statement date, with the Statement balance and the date it was Finished.
- Click View report on the row you want. The Reconciliation report opens.
- Read the report. Per the statement walks from the beginning balance through the cleared items to the statement ending balance. Outstanding items lists what was in your books on or before the statement date but not on the statement yet. The last section shows the Balance in Balancivo on the statement date.
- Click Print to print it or save it as a PDF, then Back to Reconcile.
- To undo (owners only): on the most recent finished reconciliation, click Undo and confirm. It goes back to in progress and opens so you can change which items are checked. Your checkmarks stay as they are.
- Fix the checkmarks and click Finish again once the difference is back to zero.
Good to know
- Only the most recent finished reconciliation for an account can be reopened, so earlier ones stay settled.
- Undo doesn't appear while another reconciliation for that account is in progress. Finish or cancel that one first.
- Until you finish a reopened reconciliation again, the next reconciliation can't start from it.
- A finished reconciliation can't be edited or deleted. Transactions checked off in it keep their amount, account and checkmark until it's reopened.
- Bookkeepers see "Only an owner can undo a finished reconciliation."
- If the report says the account balance in Balancivo is more or less than it should be, a transaction that cleared on an earlier statement was usually changed or deleted afterward, a transaction was dated before the books start, or the account's opening balance was edited. Check the earlier reconciliation reports for that account.
- Outstanding items are typically checks not cashed yet, deposits in transit, and card charges still pending. They should clear on a later statement.
