Get receipts from your email

Forward receipts to a private address or connect a mailbox, so Balancivo reads them, keeps a PDF and attaches each one to its charge.

Balancivo can read receipts from your email and keep a PDF of each one. In Settings, scroll to Receipts from email. Click Turn on receipts from email. This is your private forwarding address. Click Copy. Keep it private, because anything sent to it is filed as a receipt. Pick your email provider, and follow the steps to forward receipts here. Gmail sends a confirmation code first, and it shows up right here in Settings. Or check Also look in my connected mailboxes, so there's no rule to set up. Then connect Gmail, Outlook, or another email, and sign in once. Balancivo only reads. It never sends, changes or deletes anything. AI reading helps with receipts Balancivo can't read on its own. It starts on, and you can see how many reads you've used this month. Click See receipts. Each emailed receipt shows a From email tag, attached to the charge it paid for.

Balancivo can read receipts, invoices and subscription renewals from your email, keep a PDF of each one, and attach it to the matching card or bank charge. You can forward receipts to a private address, let Balancivo look in your connected mailboxes, or both.

Steps

  1. Go to Settings. Scroll to Receipts from email.
  2. Click Turn on receipts from email. Your private address appears under Forward receipts to. Click Copy to copy it.
  3. Set up forwarding. Choose Gmail, Outlook or Other email and follow the steps shown. Gmail sends a confirmation code first; refresh the page in a minute and the code appears in Settings for you to enter in Gmail.
  4. Or let Balancivo look in your mailbox. Check Also look in my connected mailboxes. If none is connected yet, click Connect Gmail, Connect Outlook or Other email and sign in. No forwarding rule is needed.
  5. Decide on AI reading. Use AI for receipts Balancivo can't read on its own starts unchecked. Check it if you'd like help with the hard ones. Receipts can include customer or donor names, so decide whether that's all right for your organization. The line shows how many AI reads you've used this month.
  6. Click See receipts to see what's come in on the Receipts page.

Good to know

  • This is a Plus plan feature. On Starter or Standard, the page shows what it does and how to upgrade. Free trials and charter subscribers have it. See Your free trial, plans and usage.
  • Keep the forwarding address private: anything sent to it is filed as a receipt. If it leaks, click Make a new address. The old one stops working right away, so update your forwarding rule.
  • Connected mailboxes are read-only and checked every 15 minutes. The first look goes back 30 days. Click Check now to look right away.
  • From a mailbox, Balancivo opens only emails whose subject reads like a receipt, invoice, order or renewal, from a sender the mail server confirmed. It never sends, changes or deletes anything.
  • For Other email (Yahoo, AOL, iCloud, or a church or business address), use an app password, not your normal password.
  • You can connect up to five mailboxes. They're shared with Zelle memos. Click Disconnect to remove one.
  • An emailed receipt attaches to a charge for the same amount, from 3 days before to 10 days after the receipt date. One that arrives before the charge attaches when the charge comes in. It never adds or changes money.
  • On the Receipts page, emailed receipts show a From email tag, and Read by AI when AI read them. Check those details. Receipts in another currency are kept but not matched.
  • AI reading sends the receipt's text (and its PDF, if it has one) to Anthropic's Claude to find the vendor, total and renewal date. Anthropic deletes it within 30 days and doesn't use it to train models. The monthly allowance is 50 reads on Starter, 200 on Standard, 500 on Plus, and 25 during the free trial, with at most 50 a day. Without AI, receipts Balancivo can't read wait for you on Receipts.
  • Click Turn receipts from email off to stop. Forwarded receipts are then dropped and mailboxes aren't checked for receipts.
