Open Profit and loss from the Reports part of the menu. Pick your dates. Year to date runs from January first through today. When your dates cover a few months, a chart shows income and expenses by month, next to your biggest expenses. Below it is the report: what came in, what went out, and your net income. For anything in Other expense, type what it was for and press Enter. The note saves on its own. Next to Show, click By month to see a column for each month. Or click Compare to prior year to see this period next to the same dates last year, with the change. Our books are new, so a note explains that the prior year fills in once you have a year of history. Download CSV gives you a spreadsheet of what's on the screen. And Print or save PDF gives you a clean copy to share.

The Profit and loss page shows what came in, what went out, and what's left (net income) for the dates you pick. You can see one total, a column for each month, or this period next to the same dates last year.

Steps

  1. Go to Profit and loss in the Reports part of the menu.
  2. Pick the period. Choose This month, Last month, Year to date, Last year, or Custom. With Custom, set the From and To dates.
  3. Pick a layout next to Show. Choose Totals for one column, By month for a column per month, or Compare to prior year to see This period, Prior year, and Change side by side.
  4. Explain Other income and Other expense. In Totals, each transaction in those categories is listed under it. Type what it was for in the box that says "What was this for?" and press Enter. The note saves on its own.
  5. Click Download CSV to get a spreadsheet of the layout you're looking at.
  6. Click Print or save PDF to print the report or save it as a PDF.

Good to know

  • Year to date runs from January 1 through today.
  • By month shows up to 24 months. For a longer period, pick a shorter range.
  • Compare to prior year uses the same calendar dates one year earlier. Change is this period minus the prior year. If your books don't go back that far, the prior-year column stays empty until you have a year of history or import older statements.
  • If some transactions in the period haven't been reviewed, a note at the top says so. Uncategorized ones are counted in Uncategorized.
  • When the period covers two or more months, a chart of income and expenses by month appears above the report, next to Biggest expenses. Charts don't print.
  • The report is on the cash basis. Transfers between your own accounts, owner contributions and draws, and loan principal are left out.
  • If a month is closed, you'll need to reopen it before changing a note.
  • If a transaction is part of a split, its note is edited in Review instead.
  • For a church, this page keeps the business wording. The financial statements package uses Statement of Activities.
