Open Financial statements from the Reports part of the menu. This page puts the whole set in one document: a cover page, your profit and loss, balance sheet, cash flow statement, and notes. Pick the period you want. Here, we'll choose Last quarter. Add your name in Prepared by, and it shows on the cover page. If anything still needs attention, the Before you send these box tells you, with a link to fix it. Scroll down to check the profit and loss, the balance sheet, as of the last day of the period, and the cash flow statement. The notes come last. They explain how the books are kept and how your net income ties to your cash. When it all looks right, click Print or save PDF. In your browser's print window, pick a printer, or save it as a PDF for your CPA or lender.
The Financial statements page builds the full set in one document: a cover page, the profit and loss, the balance sheet, the cash flow statement, and notes. Use it when someone outside your organization asks for "your financials."
Before you start
- Categorize your transactions and close the months you're reporting on. The page warns you if either isn't done.
- The company name on every page comes from Name on reports in Settings, under Organization and team.
Steps
- Go to Financial statements in the Reports part of the menu.
- Pick the period. Choose Last month, Last quarter, Year to date, Last year, or Custom. With Custom, set the From and To dates.
- Add your name (optional). Type it in Prepared by. It appears on the cover page and at the end of the notes.
- Read the "Before you send these" box, if it appears. It tells you how many transactions are still uncategorized (with a Categorize them link) and which months aren't closed yet (with a Go to Month close link).
- Scroll through the package to check each statement.
- Click Print or save PDF. In your browser's print window, pick a printer, or choose to save as a PDF.
Good to know
- Year to date runs from January 1 through the end of last month, so the package covers whole months. In January, it runs through today.
- The balance sheet is as of the last day of the period you picked.
- The cover says whether the statements are on the cash basis or, if you have fixed assets, the modified cash basis. Every package is marked unaudited.
- The notes always include Basis of accounting and Cash flow: reconciliation and non-cash items. Balancivo adds Fixed assets and depreciation when you have fixed assets, Other income and other expense when anything is in those categories (with the explanation entered for each), and Funds when you track funds.
- If the balance sheet doesn't balance, the box says how much it's off by.
- Prepared by is remembered on this browser only.
- Church wording. If your organization is set up as a church or ministry, the package uses Statement of Activities instead of Statement of Profit and Loss, and Statement of Financial Position instead of Balance Sheet. "Net income (loss)" becomes Change in net assets, "Equity" becomes Net assets, and "Opening balance equity" becomes Net assets at start of books. To switch to church wording, add the church template in Chart of accounts templates.
- This page has no CSV download. To get a spreadsheet, use the Profit and loss, Balance sheet, or Cash flow pages.
